  • HR Advice
  • Create/change new positions/org units in the system when if required,
  • Initiate and follow cost center changes
  • Handle other basic queries from salesforce.
  • New Hire Onboarding/Internal Transfers
  • Following up the new hire process with the Krakow HR Service Desk ensure timely first time right delivery.
  • Arrange all the related local activities for new hires like contracts, all documentation, medical checks, driving tests and ect. be the focal for hire processs related questions from candidates and managers.
  • Annual Leaves and absence management
  • Be a focal point for annual leaves and train people how to request annual leave
  • Follow-up annual leave forms and archive in p-files
  • Prepare mass upload files for bridge holidays or blue collar employees, ensure that they are deducted.
  • Follows up unpaid leave documentation, ensures all inplace before employee takes unpaid leave or returns from unpaid leave.
  • Follows sickness reports, ensures these are registered to Shell absence management system, follows the SGK repayment from employees to company.
  • HRIS focal point for the employees
  • Be a how to focal point for workday for regular employees, answer their how-to questions.
  • Promote usage of workday within the company.
  • Participate in workday system tests,
  • Medical Insurance and Private Pension, death disability insurance
  • Organize registration de-registration of the employees to the company sponsored insurance plans, supports the annual renewal cycle.
  • Prepare the documentation of the company sponsored insurances
  • Follow-up the regisrtrations and de-registrations. Prepare GPRF's for insurance payments.
  • Monthly Accruals
  • Prepare monthly accruals (pension, bonus, annual leave, legal indemnities) submit to the finance.
  • Work with financial audit teams where necessary to ensure compliance
  • Personel Files - Hard copy of files due to local legislation
  • Following personel files both for staff and pensioner
  • Filing all letters and documents related to promotions/transfers/new hire/terminations
  • E-file all the documents as necessary
  • Orgnizing the HR archive.
  • Social Security /Is-kur/Tuik
  • Timely and first time right delivery of:

  • New hire registrations to SGK
  • Leaver's deregistrations to SGK
  • Changes/transfers within social security workplaces,
  • Prepare and submits Is-Kur reports
  • Prepare Tuik reports
  • Occupational health and HSSE approvals in the system
  • Lunch Cards - Shell Extra Cards Local Benefit
  • Ordering Multinets for all eligible employees each month.
  • Ordering Multinet for interns during the year
  • Following up Multinets for the lost/upload/change requests. (5-10mins per case)
  • Following up shell extra card benefit
  • Gold Pin / Chocolate Procurement - Local Benefit
  • Creating list for gold pins and ordering gold pins.
  • Cholocate distributing in festivals - creating lists and organizing distributions.
  • Interns
  • Organize summer interns, select and place
  • Internal Invoices
  • Control and code expat invoices
  • Control and code training invoices
  • Employment Verification - Local support to HR Service Desk for paperwork
  • Giving information to employees about how to request Visa documents from HR Online (1employee : 5-10 min / 5-40 employees request within a month)
  • Review visa letters coming from HR Services and make corrections. Collecting signature for those letters and giving to employee
  • Providing employee documents for visa applications (social security registration documentation , payslip stamp and signature collection and guidance for the other paperwork)
  • Providing employment letters to employees - letters are coming from HR Service Desk, and necessary signatures are collected and given to the employees

  • Requirements
    • Bachelor's degree preferably in Business Administration, Economics or Social Sciences
    • Advanced level of written and spoken English
    • Advanced level of MS Office applications
    • Customer oriented approach with the ability to manage complexity
    • Good judgement and decision making skills
    • Ability to lead and to take initiative when necessary
