Job Description

Responsibilities for this position may include but are not limited to: 

  • Provides general administrative and business support which could include; Reports and reporting, metric tracking, coordinating/facilitating meetings and appointments, presentations, event/meeting planning coordination, invoice tracking and processing, mail distribution, order office supplies and file maintenance, catering, etc.
  • Manage the on-site organization and storage of hardcopy and electronic files adhering to the Chevron retention policy
  • Manage reporting and collection of monthly metrics.
  • Maintain Emergency Service Org websites (Microsoft Expressions Web 2)
  • Coordinates domestic and international travel plans as required by staff.
  • Maintain records of all office business expenses (Procard) track expenditures through the year using SAP, and researches discrepancies and organization charts and address distribution lists.
  • Communicates effectively through telephone, email or written communication lines.
  • Maintains a high degree of confidentiality.


Required Qualifications: 
  • High School Diploma or equivalent
  • 3 years of administrative or relevant experience
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel and Outlook)


Preferred Qualifications: 
  • Minimum of 2 years working in a refinery or related industry
  • Demonstrated use and knowledge of Chevron systems and databases; Operation Excellence (OERI - safety metrics dashboard), Maximo/Ariba/Chevron's Travel and Expense reporting system (CTREX)
  • Ability to interface effectively with all levels of a diverse workforce
  • Strong communication skills. Ability to communicate clearly and professionally both internally and externally in a clear, concise and effective manner
  • Ability to plan, balance and multi-task job responsibilities based on business need; approach work proactively to maintain a high level of accomplishment; ability to meet deadlines while producing high quality work; ability to anticipate needs and follow through to completion
  • Ability to be cross trained as fire/security dispatcher to fill in during emergency situations with answering phones from outside agencies, conducting emergency radio traffic to responding units, operate refinery and community notification systems
  • Ability to be cross trained as a documents section lead as part of the WWERT / Refinery Oil Spill Response process
  • Ability to complete Incident Command Training 100/200/300/700/800
